ANSWERING THE BRIEF
Specifically distributors were encouraged to sell 3 months worth of product in a two month period – those that were successful were to be eligible for participation in the selected events programme
With a fixed per head budget and the need for regional events, Sportsworld were charged with putting together a series of 6 events during May and June, each for a total of 120 guests. Given the profile of the potential guests and working with the client to identify suitable activities that could transposed throughout the UK, it was finally decided to host a series of motor sports days, at six race tracks.
These had to be co-ordinated to take place on a Saturday to ensure maximum attendance, and to include a number of ‘off road’ activities as well as track racing. Sportsworld’s proposal included a ‘set ‘ core level of inclusions – such as breakfast, a minimum of 4 activities per venue, two course buffet lunch, soft drinks, afternoon tea ,prize giving ceremony, equipment and full safety training and instructors as well as on site Sportsworld event management. In addition each venue was tailored in terms of the final selection of activities provided.
Overall project management was via a designated Sportsworld event manager – responsible for all the pre-event communication with the client. On site a minimum of two event managers were present to co-ordinate things and suppliment venue based instructors and catering staff.
The incentive proved very successful for the client as over 75% of their distributors achieved their targets, and therefore participated in the events programme. Participants feedback on the level of event management services provided and we are currently in discussions with the client about a programme of regional incentives for 2004.
